We are recruiting for a Billingual Professional Resources Administrative Assistant to join our team in our Vancouver, Calgary, Toronto or Montreal office. The successful candidate will have a minimum of three years of administrative experience, preferably within a law firm or other professional services environment. In this role, you will provide administrative and operational support across a range of Professional Resources functions, including lawyer talent management, recruitment and onboarding, performance management, and learning and development administration. McCarthy Tétrault employees benefit from a hybrid work environment. This position is to fill an existing vacancy.

 

Salary Range: $59,000 - $69,000 annually. The final offer will be determined based on the candidate’s skills, experience, and job-relevant knowledge. Please note that this range is intended to provide guidance; actual compensation may vary within this range depending on the qualifications and expertise of the selected candidate.

 

As a Billingual Professional Resources Administrative Assistant, you will be:


Shared Services

 

Assisting the Shared Services Team with daily ongoing administrative tasks in both English and French.

 

Duties include:

  • Providing administrative and operational support for a variety of Professional Resources processes and initiatives, including:
    • Talent management
    • Recruitment, onboarding, and integration
    • Performance management and evaluation processes.
  • Maintaining an effective bring-forward system to support the timely administration, tracking, and completion of tasks and deliverables.
  • Coordinating and managing logistics for meetings and events, including scheduling, materials preparation, and follow-up activities.
  • Preparing, organizing, and maintaining confidential files, records, and related documentation in accordance with firm policies and procedures.
  • Supporting projects, special initiatives, and day-to-day operations across the Shared Services Team and the broader Professional Resources group.

 MT Academy

 

Assisting the MT Academy Team with administration and co-ordination tasks in both English and French.

 

Duties include:

  • Assisting with the updating and maintenance of our Learning Management System, including attendance tracking, ensuring program entries are kept up to date, and creating and proofing invitations.
  • Managing and monitoring shared MT Academy inboxes, ensuring timely, accurate, and professional responses to inquiries.
  • Organizing MT Academy meetings, including preparing agendas and minutes for same.
  • Assisting in the preparation of various plans, reports and charts that describe, track or provide updates on programs.
  • Assisting with the updating and maintenance of programming communication templates in English and French.
  • Contributing to the ongoing development of all protocols and tracking systems

Professional Resources

 

Provide general administrative and operational support to the Professional Resources team, including:

  • Managing updates to the firm intranet, including maintaining existing content and creating new pages and resources.
  • Coordinating the payment of consultant invoices, professional fees, program registration costs, and other expenses incurred by lawyers or on behalf of the Professional Resources Team.
  • Assisting with the translation and review of communications, materials, and resources, as required.
  • Providing administrative and project support for Professional Resources initiatives and activities.
  • Performing other duties and special projects as assigned.

 

As our ideal candidate, you will distinguish yourself by the following profile:

  • Post-secondary diploma.
  • Fluently bilingual in French and English.
  • Experience with Workday is considered a strong asset. 
  • Excellent organizational, proofreading, spelling, and grammar skills, with a strong attention to detail.
  • Exceptional verbal and written communication skills, with the ability to communicate effectively and professionally with individuals at all levels of the Firm.
  • Demonstrated initiative, resourcefulness, and accountability in managing tasks and responsibilities.
  • Ability to work effectively in a fast-paced environment, manage competing priorities, and adapt to changing business needs.
  • Proven ability to handle multiple assignments simultaneously while maintaining a high standard of accuracy and service delivery.
  • Strong time management, planning, and prioritization skills, with the ability to meet critical deadlines.
  • Ability to work independently with minimal supervision, exercising sound judgment in day-to-day decision-making while recognizing when to seek guidance or escalate issues as appropriate.
  • Demonstrated ability to handle confidential and sensitive information with discretion, professionalism, and sound judgment.
