This position is based out of Toronto. This is an onsite role.

 

As an Event Specialist, you will be:

 

Researching, developing, planning and executing internal events that are in line with the firm’s strategic direction which includes but is not exclusive to:

  • Building budgets for internal approval based on Approval Matrix.

  • Providing stakeholders with guidance and options to meet their requested event parameters.

  • Liaising regularly with Manager, Events and members of other cross-functional teams:

  • Communicating audio-visual requirements to IT and ensuring they are in place for the event

  • Coordinating room set-ups and catering arrangements

  • Ensuring after hours events support is in place (cleaning staff, elevator bank usage, vendor parking)

  • Working collaboratively with the Clients & Markets team ensuring that event needs are fully met

  • Providing high-level strategic event planning advice (hospitality and content) on topics, venues, dates, trends, formats, and presentations.

  • Developing and maintaine process improvement tools & templates to support team & planning efficiencies.

  • Developing and maintain detailed and comprehensive event summaries to monitor the health of each program; compiling all details and ensuring a seamless execution.

  • Producing detailed and comprehensive event reports (pre and post) tracking attendance, budget, opportunities and successes. Making recommendations for future events: analyzing ROI, scheduling post-mortem meetings with responsible stakeholders to discuss “best practices” and “lessons learned”.

  • Maintaining the National Internal Event Tracker on a real-time basis.

  • Woring closely with lawyers, internal service teams and marketing professionals across the firm.

  • Contributing to the Conference Services department initiatives and special projects, as required.

  • Contributing to National Internal Events team special projects, as required.

As our ideal candidate, you will distinguish yourself by the following profile:

  • Post-secondary education in Hospitality, Event Management, and/or a diploma in Event Planning.
  • Five to seven years’ experience in major event planning in corporate, hospitality and/or not-for-profit environments.
  • Experience in legal or professional services firms an asset.
  • Superior organizational skills and ability to handle many projects concurrently.
  • Ability to convey professional maturity and a “business oriented” approach.
  • Ability to develop strong professional relationships.
  • High level of initiative, attention to detail, and excellent follow-up skills.
  • Flexibility to work extra hours during peak periods, and outside of normal business hours.
  • High level of detail to administrative responisiblities.
  • Ability to work in high pressure situations.
