We are recruiting for a Trainer, Billings to join our team in our Toronto office. The successful candidate must have a minimum of 4 years experiences in training or coaching and will be responsible for Responsible for creating and maintaining yearly training schedules , training new staff in billing team and develop training plans. McCarthy Tétrault employees benefit from a hybrid work environment with 3 days in the office per week.

 

As a Trainer, Billings, you will be:

 

Trainer responsibilities:

  • Responsible for creating and maintaining yearly training schedules at national and local offices.
  • Developing training plans for new hires at the national billing level for periods of 0-3 months, 6-12 months, and 1+ years.
  • Training new staff in billing-team and company policies and procedures.
  • Meeting with national team members quarterly and with Billings Manager and Supervisors monthly to discuss training needs and team performance.
  • Identifying areas for improving individual and team performance, sharing feedback with Manager, Billings and Billings Supervisors.
  • Collaborating with Manager, Billings and Billings Supervisors, and client SMEs to create training materials, videos, presentations, and handouts, and uploads documentation into databases.
  • Responsible for ongoing technical and soft skill development of the national team, including training on Billing-related platforms like Coupa, Intapp Intake, Service Now, Espresso, iManage, and Excel.
  • Recording attendance at training sessions and shares feedback with the Manager, Billings and Billings Supervisors.
  • Identifying opportunities for process improvements and contributes to developing and implementing new or revised processes.
  • Travelling to other offices for in-person team training sessions when required.

Biller responsibilities:

  • Building and maintaining effective working relationships with billing lawyers, paralegals, legal assistants, clients, and management.
  • Ensuring time is entered by set deadlines and follow up with lawyers and paralegals as needed.
  • Preparing, printing, and reviewing prebills (electronically or physically) monthly, quarterly, or on request, and revising according to client billing guidelines and Firm standards.
  • Monitoring and reviewing outstanding WIP (Work In Progress) and following up with lawyers and paralegals to ensure timely billing. Tracking contingency files, closings, and other milestone billing arrangements, and reporting status to direct supervisor.
  • Preparing reports and spreadsheets related to time, billing, receivables, etc., for lawyers/paralegals and/or external clients.
  • Issuing invoices as instructed by lawyers and in accordance with client billing guidelines and Firm standards, including narrative edits, transfers, splits, fee adjustments, and creating PDF, delimited, or XML file invoices for e-billing clients.
  • Ensuring invoices and supporting documents are forwarded to clients timely via mail, email, or e-billing platforms as per Firm standards.
  • Liaising with Finance Department to ensure client codes and contract specifications are up-to-date and procedures are followed.
  • Liaising with E-billing Team regarding any rejected invoices during e-billing submissions.
  • Completing online status reports and budgets in e-billing systems for various clients in coordination with lawyers and legal assistants.
  • Acting as monitor for specific clients/matters with Alternate Fee Arrangements, ensuring special rates and discounts are applied, monitoring thresholds and milestones, and updating billing lawyer on status.
  • Acting as liaison between lawyers/legal assistants and Finance, providing assistance with accounting or financial queries to meet client needs.
  • Handling initial collection inquiries with external clients, escalate billing concerns/issues to billing lawyer, and, if necessary, cancel and re-issue invoices or create credit notes per Firm policies. Forwarding problematic client collections to Collection Department if applicable.
  • Obtaining additional information for special arrangements and/or e-billing setup, and assisting E-billing team to ensure prompt setup.
  • Liaising with Billings Team to manage requests sent to team inbox and supporting team during high production times and absences.
  • Maintaining accurate and up-to-date records of all approvals and directions by uploading necessary documentation into appropriate databases.

As our ideal candidate, you will distinguish yourself by the following profile:

  • Post-Secondary education in Accounting is required, or equivalent work experience.
  • Minimum of 10 years of related experience, including client service, billing, collections and\or accounts receivable, preferably in a professional services firm.
  • Experience with Aderant Expert required. 
  • Prior training experience required.
  • Strong time management skills, ability to handle multiple tasks, set schedules and work under pressure to meet deadlines.
  • Analytical and problem solving skills.
  • Strong attention to detail and organizational skills.
  • Knowledge of business and legal terminology.
  • Capacity to demonstrate tact and diplomacy when dealing with internal and external clients.
  • Flexibility to work overtime during peak billing periods (including but not limited to month-end, quarter-end, year-end, etc.).
  • Strong written and oral communication skills.
  • High level of discretion and confidentiality.
