We are recruiting for a Bilingual Events Coordinator to join our team in our Montreal office. The successful candidate must have a minimum of 2 years of experience in event coordination and will be responsible for assisting the Event Specialist with various events, helping to source event gifts, and providing other forms of administrative support. McCarthy Tétrault employees benefit from a hybrid work environment with 3 days in the office per week.

 

Bilingualism is required as this is a nationally collaborative position, and the successful candidate will be responsible for handling and following up on various client and third-party requests from individuals who understand and communicate only in English. This role also requires the candidate to be able to interact seamlessly with colleagues across our offices in Canada, where English is the predominant language. Since we estimate that more than 60% of the work required for this position must be performed in English, and in order to ensure that the employee in this role can carry out their duties independently and effectively, candidates must be able to communicate appropriately in both French and English, both orally and in writing.

 

As a Bilingual Events Coordinator, you will be:

  • Under the guidance and direction of the Client Relations Manager and Client Event Specialists, the Client Relations & Events Coordinator will be providing support on the planning and execution of in-person, hybrid and virtual events.
  • Sourcing and booking venues, entertainment, gifting and other services.
  • Preparing onsite event materials.
  • Assisting with on-site event registration and delivery of events.
  • Creating and revising invitation lists based on targeting criteria.
  • Updating RSVPs and Attendance in Salesforce.
  • Preparing event reports on metrics and analyzing data.
  • Coordinating seasonal and ad hoc client gifting initiatives.
  • Processing invoices and reconciling credit card statements.
  • Collaborating with other firm teams to ensure that event and gifting needs are fully met.
  • Keeping the Client Relations Manager informed of progress on projects, as well as any issues that require escalation.
  • Collaborating additional projects as required.

 As our ideal candidate, you will distinguish yourself by the following profile:

  • Post- Secondary education in business, marketing, communications, and/or diploma in event management an asset.
  • Minimum of 2 years of relevant business experience.
  • Experience with virtual event platforms an asset.
  • Bilingualism (French and English) – An asset but is not required.
  • Proficiency with MS Office suite; ability to quickly learn and leverage new technology solutions.
  • Experience working with Salesforce and SharePoint an asset.
  • Professional maturity including strong interpersonal skills, tact and discretion.
  • Excellent oral and written communication skills.
  • Excellent organizational skills.
  • High attention to detail and commitment to quality.
  • Ability to handle multiple tasks simultaneously and set priorities with challenging deadlines.
  • Ability to complete designated tasks in a systematic and logical way, with great attention to detail.
  • Ability to work in a demanding, fast-paced environment.
  • Ability to work onsite.
  • Ability to be flexible and adaptable.
  • Flexibility to work extra hours during peak periods, and regularly outside of normal business hours.
