We are recruiting a highly organized, proactive, and resourceful Executive Assistant to provide comprehensive support to three Chief/Senior Leaders at our national law firm. The ideal candidate will be adept at managing complex calendars, coordinating travel, preparing reports and presentations, and facilitating communication across multiple levels of the organization. This role requires exceptional time management, attention to detail, and the ability to handle sensitive information with discretion. This is a newly created position.

 

Salary Range (Toronto Only): $67,000 – $80,000 annually 

 

The offered salary may vary based on the candidate’s job-specific knowledge, skills, and experience.


As an Executive Assistant, you will be:

 

Calendar & Meeting Management

  • Proactively managing complex calendars for three senior executives, including scheduling meetings, resolving conflicts, and ensuring optimal time allocation.
  • Organizing and coordinating internal and external meetings, including agenda preparation, minute-taking, and follow-up on action items.

Travel Arrangements

  • Arranging travel, including flights, accommodations, ground transportation, and itineraries.
  • Preparing travel expense reports and ensuring compliance with firm policies.

Reporting & Documentation

  • Preparing, editing, and formating reports, presentations, and correspondence for executive review.
  • Tracking and compiling data for regular and ad hoc reporting requirements.

Initiative & Project Coordination

  • Coordinating and supporting firm-wide initiatives and projects, ensuring deadlines are met and stakeholders are informed.
  • Assisting with small-scale project management, including tracking deliverables and communicating progress.

Communication & Liaison

  • Serving as a key point of contact between the executives and internal/external stakeholders.
  • Drafting and distributing communications on behalf of the Leaders, ensuring clarity and professionalism.

Presentation Creation

  • Designing and preparing high-quality presentations for meetings, conferences, and client engagements.

General Administrative Support

  • Managing confidential information with the utmost discretion.
  • Performing other administrative duties as required to support the Leaders and the broader leadership team.

As our ideal candidate, you will distinguish yourself by the following profile:

  • Minimum 5 years of experience as an Executive Assistant, preferably supporting multiple senior leaders in a professional services or legal environment.
  • Post-secondary education in business administration or a related field is an asset.
  • Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and virtual meeting platforms and an aptitude to learn new technologies.
  • Exceptional organizational, time management, and multitasking skills.
  • Strong written and verbal communication skills, with the ability to interact effectively at all levels of the organization.
  • Demonstrated ability to manage competing priorities and work under pressure in a fast-paced environment.
  • High degree of professionalism, discretion, and judgment.
  • Experience with project coordination or small-scale project management is an asset.
