As a Communications Projects Specialist, you will be:
- Managing the intake of communications and marketing projects through the MarComms inbox, responding to or re-routing requests in accordance with the team’s SOPs.
- Developing project plans, work-back schedules, and tracking spreadsheets.
- Overseeing the day-to-day co-ordination of projects to ensure an efficient and effective workflow.
- Maintaining visibility on projects in the pipeline, identifying potential priority conflicts, and proactively managing upward if needed.
- Creating, updating, and maintaining project documents in our database, ensuring all records are kept up-to-date.
- Ensuring all Communications Standard Operating Procedures (SOPs) are kept current in our databases and proactively escalate any required improvements.
- Working directly with internal and external key contacts to oversee and execute the development of publications and annual projects, map project schedules, and advise project teams of any delays or variances.
- Collaborating with the Firm’s Vendor Management Office and Finance Department to process invoices.
- Scheduling Communications Team meetings, preparing agendas and track minutes, with the support of AI tools.
As our ideal candidate, you will distinguish yourself by the following profile:
- University degree in Communications, Marketing or Business, or an equivalent field.
- Minimum five years’ experience in Marcomms project management and cross-functional coordination.
- Experience in a large organization, a law firm, or a professional services firm would be an asset.
- Full bilingualism in English and French (written and oral) would be an asset.
- Solutions-oriented mindset with a strong client-service acumen.
- Proficiency in the MS Office suite and the ability to quickly learn and leverage new technology solutions, including Copilot. Experience with MS Project, MS Visio, and SharePoint (user level) would be an asset.
- Strong project management and organizational skills in a fast-paced environment.
- Exceptional attention to detail and a proven ability to think laterally to ensure all tasks are completed.
- Team player who proactively identifies opportunities for process improvements and operational efficiencies.
- Strong understanding of marketing, communications, and business development principles.
- Comfortable working with shifting priorities and tight deadlines.
- Excellent interpersonal and communication skills.
- Ability to carry out responsibilities with minimal supervision, demonstrating confidence in day-to-day decision-making while knowing when to escalate and seek guidance.
- Strong writing skills, with the ability to respond to ad hoc writing requests for both internal and external audiences.
